Job Title: Quality Assurance Officer

The purpose on the job is to administer and maintain the quality assurance processes for the academic Information management system (AIMS) in order to ensure the delivery of business-specific quality standards are met.

The incumbent will:

Þ     Assist in updating the academic structure using restricted access functions to ensure that the data that is updated is at all times correct and ensures the smooth registration; examination and other academic support processes.

Þ     Be tasked with developing and maintaining a quality assurance framework by outlining the processes and procedures for quality assurance and ensure that stakeholder needs are met through the deployment of best practice methodologies. The incumbent will also offer an advisory and technical support service to the academic and administrative departments with regards to AIMS and Programme Qualification Mix (PQM).

Requirements:

·         Grade 12/Matric and a completed 3 year qualification or an equivalent on NQF level 6 or 7, preferably with Information management as a major

·         A quality management qualification on NQF level 5 or 6

·         At least 3 years applicable Programme Qualification Mix (PQM) and academic structure experience at a Higher Education environment

·         At least 2 years supervisory/managerial experience

·         Knowledge of academic structures and regulatory framework (HEQsF) and related legislation.

·         Previous experience in data capturing or data management is recommended.

·         High level of integrity to ensure safety of database and the academic structure

·         Conduct data analysis and quality audits on AIMS

·         Monthly reporting on system and process gaps to improve business unit performance

·         A good command of written and spoken English.

·         Advanced knowledge of Ms Office package

ü  Familiarity with the tools, concepts and methodologies of quality management.

ü  Ability to think laterally and liaise with all levels of staff

ü  Ability to work independently and under pressure

ü  Ability to work irregular hours

ü  Ability to interpret and analyse information received from academic departments

ü  High degree of accuracy

ü  Ability to organise and meet deadlines

ü    Ability to interpret minutes





Duties



·         Render advisory services to academic and administrative staff on academic information and data quality

·         Compile monthly reports on system and process gaps to improve business processes

·         Implement quality management systems and processes

·         Administer and maintain overall quality processes and assume accountability for Business Unit’s quality management practices.

·         Establish and implement programs for quality improvement, and successful measurement criteria.

·         Conduct monthly audits to ensure validity and reliability of academic information.

·         Report and highlight system and process gaps to improve business processes

·         Management and maintenance of the academic structure

·         Updating of Unisa publications
