Job Title: Personal Assistant
Main Purpose:
Personal Assistant to two Partners in TICE.

Responsibilities/Output:
JOB DESCRIPTION
Act on instructions from Partners in a timely and effective manner
Liaise directly with clients, managers, staff and partners regarding setting up meetings
Send out PwC publications electronically to clients – Tax notifications, Synopsis, other electronic communications.
Electronic Diary Management – check availability, make appointments, accept invitations, diarise events and attendances at seminars.
Screen calls, take messages and proactively action requests as appropriate.
Setting up conference calls and dial in details
Liaise with GTS regarding any laptop computer and/or mobile phone problems.
Liaise with Word Processing in respect of financial statements, performing the first review to ensure all requests have be done
Booking of boardrooms for meetings
Print Maconomy reports upon request or sourcing reports from the relevant TICE staff if applicable
Prepare and submit Partners’ timesheets and expense forms on a monthly basis on a timely basis
Check stationery and order where necessary, pack in stationery cupboard, clean up cupboard when required
Make complicated travel arrangements for Partners and their travelling staff and managers, foreign currency management, reconciliation of foreign currency, visa requirements, changes to travel arrangements
Print labels for envelopes
Type faxes and/or letters upon instruction from the partners
Order books from the library upon request
Book internal and external venues for meetings and lunches upon request from the Partner
Liaise with the PwC Events department for events being planned for the Partner
Submission of CAMAF claims and follow up until settled
Order client Christmas gifts and diaries, organise logistics for delivery to clients
Requirements
Qualification Level: Secretarial Diploma/Certificate
Additional Qualification Level: n/a
Experience Required: 5 - 10 years
Competencies / Skills:
COMPETENCIES/SKILLS
Proficient in use of MS Word, MS Excel, MS Powerpoint and Lotus Notes (including email and electronic diary), Maconomy and other PwC relevant software to complete tasks
Attention to detail
Good inter-personal skills
Approachable by staff and managers who work for the Partners.
Good verbal communicator of English with a pleasant and professional manner.
Ability to interact with clients, managers, staff , other partners and other PA’s professionally and tactfully
To act with the utmost level of confidentiality and professionalism.
