An exciting position has arisen within the Organizational Effectiveness Directorate of ActionAid International as a Team Business Administrator to the Human Resources and Organisation Development Country Coordination Team. The role will provide effective and efficient administrative support to the Team.

Key responsibility areas include, but are not limited to:

    Coordinate the HR Unit activities, annual planning, monthly reporting and team meetings;
    Identify action items from team meeting minutes and agendas and assign to respective members of the team as well as monitor progress of action items allocated;
    Coordinate team meetings, arrange national and international travel, meeting venues, accommodation, catering, etc. for Unit Meetings and Global HR Meetings;
    Maintain a filing system for the HR team ensuring that documentation and files are kept up to date and confidential in compliance to set standards (both electronic storage and hard copies filed)
    Ensure filing is done on a weekly basis
    Support / track movements of  the HR team – e.g. annual leave and travel plans on a monthly basis
    Monitor unit budget expenditure and maintains contact list of internal stakeholders, ensure effective communication with other units within ActionAid International
    Update and maintain the HR, HIVE (Intranet) Site, including maintenance of cluster specific workspaces, uploading HR Community Contact Details, minutes of meetings, relevant documents etc.
    Provide administrative support during HR Audits in countries, Peer to Peer support initiative, and other identified HR projects.
    Prepare and assist with preparation (including desk-top research) for team meetings and ad hoc projects;
    Maintain a system to review HR progress against internally agreed and externally communicated milestones and project plans, such as Country Engagement Plans;
    Support with the coordination of projects relating to HR work as agreed with the Head of HR
    Act as point of contact and liaison between HR and other  units on specific tasks and projects;

Person Specification:

    Preferably a Bachelor’s Degree or Diploma in HR/Administration or studying toward a relevant qualification in HR/ Administration
    A minimum of 3 years’ experience in a similar capacity within an HR department. Previous INGO experience will be an advantage;
    Exceptional written and oral communication skills in English, with good interpersonal skills and sensitivity within a multi-cultural environment spanning multiple geographies;
    A high degree of flexibility, being able to shift priorities and track multiple tasks simultaneously;
    Resilience when under pressure, being able to use own initiative and prioritise tasks, always demonstrating sound judgment;
    Integrity when dealing with confidential and sensitive information;
    Solid experience and knowledge of MS Office (formal training preferred)

    Fanatical attention to detail and tenacity in following up on repetitive administrative tasks
