Job Title: Administration Manager
Function: Finance / Administration
Facility: Life The Glynnwood Hospital, Benoni
Introduction:
A vacancy exists for an Administration Manager at Life Glynnwood & Life Glynnview hospitals, reporting to the Hospital Manager. The successful candidate will be responsible for managing the financial results of the business in line with accounting standards and within corporate governance protocols in support of Life Healthcare objectives and strategy.
Critical Outputs:
Effective people management
• Demonstrate visible leadership in respect of Life values, operating model and strategy.
• Actively sponsor Life initiatives and projects as it relates to hospital.
• Actively participate in hospital MANCO meetings and regional forums
• Actively lead and manage Finance & Administration and HOD feedback meetings and ensure participation from all parties to achieve strategic objectives
• Recruit, retain, motivate and develop staff according to Life people policies and practices.
Governance and risk management
• Manage compliance with the Life delegated authority limits in respect of all transactions, report deviations and take action where necessary
• Continually assess the internal control environment, using formal review checklists and taking into account day to day experiences, reacting promptly to identified risks
• Ensure capital expenditure proposals are motivated, submitted, approved and managed within the documented guidelines, protocols and authorization limits
Patient services and credit management
• Manage and minimize risk and achieve LHC targets regarding rejections, bad debts, case management write offs and reimbursement codes, identifying problems and taking remedial actions with relevant stakeholders
• Manage credit risk on private patients and accounts that are not fully covered by medical aid
• Ensure all credit management targets are met (e.g. internal and external debtors days)
• Oversee pre-admission trends with relevant manager and manage appropriately
Financial reporting & analysis
• Manage business processes between hospital administration staff and Life financial services centre to ensure general ledger is closed off within stipulated deadlines and with minimal adjustments required and that monthly accounting reconciliations are reviewed and followed up promptly
• Prepare monthly report on hospital performance, comparing actual results to budget and prior year, identifying trends and problem areas and taking remedial action with staff and enabling functions where necessary
Budgeting
• Participate in hospital strategic planning to align capital expenditure budgets and operational activity drivers
• Develop operating budget, working capital, balance sheet and capital expenditure forecast in line with annual Life budget guidelines, ensure approval of budget by hospital and regional management and communicate approved budget to all units within the hospital
Effective quality management and customer relations
• Achieve and improve quality metrics, continuously monitor and measure processes to maintain and approve same and actively lead and promote LHC quality drive
• Manage data integrity and compliance to LHC protocols
• Develop and maintain relationships with various internal and external stakeholders, conduct feedback surveys in order to monitor relationships and service levels, identify trends and implement remedial actions
Requirements:
• Bachelor’s degree in Finance & Accounting; Completed articles; CA would be an advantage
• Relevant operational and commercial experience, preferably minimum 3 years as Financial Manager of a medium-sized enterprise
• Specific experience in credit risk management and customer credit control will be an advantage
• Insight into hospital operational functioning and medical aid funding
