Job Title: Staff Planner
Main Purpose:
Supporting Partners and Managers with the optimal functioning of the CIPS Sunninghill Division in terms of financial administration and staff planning. Strong focus on Finance and Staff planning simultaneously.

Responsibilities/Output:
Managing the accuracy of the Retain database as follows:
Daily liaison with partners, managers and staff in the division as well as other divisions and offices within the firm regarding all planning related matters.
Monitoring of ACI v White statistics and chairing of the weekly Retain meeting.
Approving leave for staff members Maconomy functions involving, but not limited to the following:
Opening and closing of job codes Raising of invoices and credit notes Assistance with data quality in respect of the various industries Assistance with month-end procedures as follows: Approval of time and expense sheets Review of time charged/expenses claimed by staff members and following up on incorrect/unexpected timesheet entries. Preparing WIP reports and circulating to Partners for purposes of capturing provisions on a monthly basis. Entering Partner’s month-end provisions in Maconomy. Preparing the forecast for the remaining months in the financial year.
Prompt resolution of clashes on Retain, in conjunction with Managers and Partners.
Managing staff availability and in so doing keeping availability as low as possible.
Updating Retain with ad hoc events such as group social activities and training specific to the division only.
Attend monthly staff planners meeting together with HC Partner and communicate important matters back to Managers and Partners.
Building appropriate portfolios for new joiners.
Establishing appropriate relationships with staff at all levels within the division.
Managing overtime balances in accordance to HC guidelines.
Assisting the Finance Partner with monthly reporting as follows:
Preparation of the following reports to be included in monthly management packs and for discussion at monthly staff planners meetings: Projection reports compiled from Retain and Qlikview for the month as well as the year ahead. Reports analysing variances between monthly projections and actual time booked per Maconomy.
Preparation of monthly staff availability schedules to be used in assisting other divisions where there are significant needs.
Assisting with the timesheet review process as follows:
Acting as Maconomy champion and provide assistance and information to all staff as requested as well as training when applicable - in regard to timesheets and expenses.
Supporting the optimal functioning of the division through your input, support and interaction with staff as follows:
Notifying the division of all appointments, resignations, transfers, birthdays, weddings, engagements, births and condolences via email.
Assisting in the administration of vacation and jobs shadowing students as and when required.
Preparation and analysis of reports monitoring ACI vs White productivity, overtime, core hours and job
Requirements
Qualification Level: Diploma (National)
Additional Qualification Level: Diploma (National)
Experience Required: 5 - 10 years
Competencies / Skills:
Grade 12 Project Management Diploma/Certificate 5 – 10 Years Experience
• Appropriate project management qualification
• Minimum 5 years financial administration / general Human Resources administration and/or office management experience
• Advanced knowledge of MS Office, specifically Excel
• Ideally experienced in using Retain, Qlikview and WIP or project management/administration experience and utilisation of relevant skills and systems
• Strong numeracy skills
• Enjoyment of working with figures, and an understanding of forecasting principles
• Strong problem solving and organisational skills
• Assertiveness
• Strong people skills and conflict resolution skills and experience
• Project management and people management experience
• Ability to think on your feet
